# Connect Microsoft

Connect Microsoft Teams, Outlook mail and Outlook Calendar, and see what each one reads and writes.

## Three Microsoft connections

Justwon connects to three Microsoft products. Each is its own connection on the Integrations page.

| On the Integrations page | Whose connection | Who may connect it |
| --- | --- | --- |
| Microsoft Teams | The whole workspace | An owner or an admin |
| Microsoft Outlook | One person's mailbox | Any member, for their own mailbox |
| Outlook Calendar | One person's calendar | Any member, for their own calendar |

All three sign in with a Microsoft work or school account, and Justwon acts as the person who signed in. Teams does not work with a personal Microsoft account. See [Roles](https://justwon.ai/docs/get-started/roles) for what each role may do.

To start any of them, find it on the **Available** tab of **Integrations** and select it. A sheet named after the product opens, for example **Connect Microsoft Teams**.

## Admin approval in your Microsoft 365 organisation

Microsoft may stop you with a message that you need admin approval. That is a setting of your organisation, not a fault. It means an administrator of your Microsoft 365 organisation has to approve Justwon before people can use it.

Reading Teams channel messages needs this approval. For Outlook mail and Outlook Calendar it depends on how your organisation lets people consent to apps.

An administrator can approve Justwon for the whole organisation when they sign in to connect. If you would rather approve it before anyone connects, write to support@justwon.ai and we send the approval link for your organisation.

## Microsoft Teams

Justwon reads the messages in the Teams channels you choose, and can post to a channel once a person has approved the post.

### Before you start with Teams

- You must be an owner or an admin of the Justwon workspace.
- You sign in to Microsoft with a work or school account that belongs to the teams you want Justwon to read.
- An administrator of your Microsoft 365 organisation has to approve Justwon, see above.
- Start in Justwon. Justwon has to begin the connection.

### Install and connect Teams

1. Sign in to https://app.justwon.ai and open **Integrations**.
2. Open the **Available** tab, find **Microsoft Teams** and select it. Its card says **Connect**.
3. Select **Connect Microsoft Teams**. A Microsoft sign-in window opens.
4. Sign in and approve the access Microsoft lists. The window shows **Connected**. Close it.
5. Justwon opens the connection on its **Configuration** tab. Under **What Justwon may read**, choose the channels to read. Choose at least one channel.
6. Under **What Justwon may do**, tick **Post messages in Microsoft Teams** if you want Justwon to be able to propose a post. Nothing is ticked until you tick it.
7. Select **Connect and sync**. Nothing is read from Teams before you do.

### What Justwon reads and writes in Teams

Justwon reads the messages people wrote in the channels you chose. It does not read replies, and it leaves out the notices Teams writes into a channel, such as a member being added. The first read of a channel has no time limit: it reads the channel's whole history. Later reads start where the last one stopped.

A private channel you belong to is listed as **Private**. Select private channels one at a time. Justwon keeps a message from a private or shared channel as private, so it is not shown to everyone in your workspace.

A post goes to a channel only after a person has approved it. It appears in Teams as the person who connected Teams, as plain text. Justwon posts with that person's access. If their access ends, posting stops until someone connects Teams again.

### Teams permissions

| Permission | What it is used for |
| --- | --- |
| Read channel messages · `ChannelMessage.Read.All` | Justwon reads channel messages from your Microsoft Teams so it can resolve them into one picture of each customer account. It does not change them. |
| Read the list of channels · `Channel.ReadBasic.All` | Justwon reads the list of channels from your Microsoft Teams so it can resolve them into one picture of each customer account. It does not change them. |
| Read the list of teams · `Team.ReadBasic.All` | Justwon reads the list of teams from your Microsoft Teams so it can resolve them into one picture of each customer account. It does not change them. |
| Read your profile · `User.Read` | Justwon uses the name and email of the person connecting to show whose connection it is and to match them to a Justwon user. It is not used for sign-in to Justwon. |
| Stay connected · `offline_access` | Justwon keeps reading in the background, without asking the person to sign in again, until they disconnect. |
| Post channel messages · `ChannelMessage.Send` | Justwon can post message in your Microsoft Teams, only when your team has approved it or has allowed that kind of action to run on its own. Each one is logged and shown to you with its sources. |

### Disconnect Teams

1. Open **Integrations** and the **Connected** tab, and select the Microsoft Teams connection.
2. On the **Configuration** tab, under **Disconnecting**, select the button for Microsoft Teams, then select **Disconnect**.

The sources it came from are closed, and are not shown or quoted again. After ten days Justwon removes the content it read from the tool; what Justwon worked out from it stays with the account. Reconnect within ten days to bring the sources back. Values filled in through field mappings are cleared, except a contract's dates. Nothing new comes in. What stays is the facts, scores and assessments, and the people and companies.

## Outlook mail

Justwon reads the customer email in one person's Outlook mailbox and can prepare a reply for that person.

### Before you start with Outlook mail

- Any member can connect their own mailbox. You do not need to be an admin.
- You sign in with the work or school account of the mailbox, or with a personal Outlook.com account.
- Your organisation may need to approve Justwon first, see above.

### Install and connect Outlook mail

1. Open **Integrations**, then the **Available** tab, and select **Microsoft Outlook**.
2. Read **Share what involves your customers with your team**. It says what Justwon keeps and who can open it.
3. Select **Share and connect Microsoft Outlook**. A Microsoft sign-in window opens.
4. Sign in and approve the access Microsoft lists. Close the window when it shows **Connected**.

Justwon starts reading as soon as you have agreed to the notice.

### What Justwon reads and writes in Outlook mail

- **What it reads:** the Inbox and Sent Items of the mailbox you connected, and no other folder. It does not read shared mailboxes or anyone else's mailbox. Attachment files are not downloaded.
- **What it keeps:** a message only when it involves one of your customers' accounts: their domain, or a known contact's address. Everything else is dropped before it is stored. Automated and bulk mail, such as no-reply senders, is dropped as well.
- **Who sees it:** Everyone in your workspace can open what it keeps, as they can a message in a public channel. They see the message itself and who was on it, not only a summary.
- **What it writes:** with **Draft an email in your mailbox, or send one from it** ticked, Justwon can prepare a reply in your mailbox, and send it from there where your workspace allows sending. An email cannot be recalled, so this always waits for a person to approve it.

### Outlook mail permissions

| Permission | What it is used for |
| --- | --- |
| Read your profile · `User.Read` | Justwon uses the name and email of the person connecting to show whose connection it is and to match them to a Justwon user. It is not used for sign-in to Justwon. |
| Stay connected · `offline_access` | Justwon keeps reading in the background, without asking the person to sign in again, until they disconnect. |
| Read mail and write drafts · `Mail.ReadWrite` | Justwon reads the Inbox and Sent Items of the person who connected, and only mail that involves one of your customer accounts is kept, so it can resolve them into one picture of each customer account. It writes a reply draft only when your team has approved it or has allowed that kind of action to run on its own. Each one is logged and shown to you with its sources. |
| Send mail · `Mail.Send` | Justwon can send customer email in your Microsoft Outlook, only when your team has approved it or has allowed that kind of action to run on its own. Each one is logged and shown to you with its sources. |

### Disconnect Outlook mail

1. Open **Integrations**. Your own connections are listed under **Yours** (**Your connections** for a member). Select the Microsoft Outlook connection.
2. On the **Configuration** tab, under **Disconnecting**, select the button for Microsoft Outlook, then select **Disconnect**.

The sources are closed. After ten days Justwon removes the messages it kept, and what Justwon worked out from them, such as facts, scores and assessments, and the people and companies, stays with the account. If you connect Outlook again within ten days, the sources come back as they were. You can delete any kept item from the **Sources** tab. A personal connection also ends when the person leaves the workspace. Justwon does not tell Microsoft that you disconnected, so also remove Justwon from Microsoft, as described below.

## Outlook Calendar

Justwon reads the meetings in one person's Microsoft 365 calendar and can create an event once a person has approved it.

### Before you start with Outlook Calendar

- Any member can connect their own calendar.
- You sign in with a Microsoft work or school account. Your organisation may need to approve Justwon first, see above.

### Install and connect Outlook Calendar

1. Open **Integrations**, then the **Available** tab, and select **Outlook Calendar**.
2. Read the notice about what Justwon keeps, then select **Share and connect Outlook Calendar**. A Microsoft sign-in window opens.
3. Sign in and approve the access Microsoft lists. Close the window when it shows **Connected**.

### What Justwon reads and writes in the calendar

- **What it reads:** your default calendar. It reads recent events and events up to 90 days ahead.
- **What it keeps:** an event only when it involves one of your customers' accounts: their domain, or a known contact's address. Other events are dropped before they are stored. Events marked free, out of office or working elsewhere, cancelled events, focus time, events with no guests and personal reminders are left out. A recurring series is read one occurrence at a time.
- **Who sees it:** everyone in your workspace can open what it keeps. They see the event itself and who was invited, not only a summary.
- **What it writes:** with **Create an event on your calendar** ticked, Justwon can propose a meeting. Microsoft sends the invitation to every guest when the event is created, which cannot be taken back, so an event always waits for a person to approve it.

### Outlook Calendar permissions

| Permission | What it is used for |
| --- | --- |
| Read your profile · `User.Read` | Justwon uses the name and email of the person connecting to show whose connection it is and to match them to a Justwon user. It is not used for sign-in to Justwon. |
| Stay connected · `offline_access` | Justwon keeps reading in the background, without asking the person to sign in again, until they disconnect. |
| Read calendar events and create new ones · `Calendars.ReadWrite` | Justwon reads meetings from the calendar of the person who connected so it can resolve them into one picture of each customer account. It creates a meeting only when your team has approved it or has allowed that kind of action to run on its own. Each one is logged and shown to you with its sources. |

### Disconnect Outlook Calendar

1. Open **Integrations**. Your own connections are listed under **Yours** (**Your connections** for a member). Select the Outlook Calendar connection.
2. On the **Configuration** tab, under **Disconnecting**, select the button for the calendar, then select **Disconnect**.

The sources are closed. After ten days Justwon removes the events it kept, and what Justwon worked out from them, such as facts, scores and assessments, and the people and companies, stays with the account. If you connect the calendar again within ten days, the sources come back as they were. You can delete any kept item from the **Sources** tab.

## Remove Justwon from Microsoft

Disconnecting in Justwon stops Justwon reading. It does not remove the permission you gave in Microsoft. To remove it:

- **A person with a work or school account** removes Justwon from the apps they have allowed, at https://myapps.microsoft.com.
- **A person with a personal Microsoft account** removes it from the app permissions of their Microsoft account.
- **An administrator** removes it for the whole organisation under Enterprise applications in the Microsoft Entra admin centre.
